The problem
Your customer journey is one process. Your software should treat it that way.
Before Vaylo
- Leads scattered across inboxes, portals, and sticky notes
- The same customer typed into three different tools
- Follow-up that depends on whoever remembers
- Reports assembled by hand from disconnected exports
- Handoffs that drop context between sales, ops, and service
With a well-designed Vaylo system
- One unified customer record every team reads and trusts
- Clear ownership the moment a lead arrives
- Automated handoffs with human approval where it matters
- Visible next steps on every record
- Role-specific dashboards that answer “what needs me now?”
Three paths
Three ways to work with Vaylo
Every engagement starts by understanding how your business actually works — then takes the path that fits.
Vaylo Ready
A configurable CRM foundation for businesses that need proven lead, pipeline, communication, reporting, and automation workflows without starting from zero.
Who it's for
Teams that need a strong, proven starting point — configured to their industry and workflow rather than built from a blank page.
Common starting points
- Leads live in inboxes and spreadsheets
- An existing CRM was never configured to the way the team works
- Growth is outpacing manual follow-up
Vaylo Custom
A CRM designed and developed around unique workflows, data models, roles, integrations, reporting, customer experiences, and operational requirements.
Who it's for
Organizations whose processes, data, or customer experience genuinely do not fit generic software — and who want a system they own.
Common starting points
- Off-the-shelf CRMs keep forcing workarounds
- Critical data lives in systems nothing else can read
- The customer experience itself is a differentiator
Vaylo Automate
AI agents and deterministic workflow automation for lead capture, qualification, routing, follow-up, data entry, summaries, task creation, and customer service.
Who it's for
Teams losing hours to repetitive work — and leads to slow or inconsistent follow-up — who want automation with clear human control.
Common starting points
- New leads wait hours (or days) for a first touch
- Follow-up depends on whoever remembers
- Reps spend evenings on data entry and notes
Not sure which path fits? The CRM Blueprint recommends a starting point based on your workflow.
One connected system
All the capability. None of the maze.
Bring contacts, conversations, pipeline, scheduling, automation, marketing, reputation, payments, reporting, and AI into one connected environment — then give each person a view built for their role.

Lead management
End-to-end, from first click to repeat customer
Click a stage to see the data, automation, human decisions, and reporting Vaylo designs into it.
Data
Source, channel, consent status, and first-touch context land on a new record.
Automation
Forms, calls, chats, ads, imports, and APIs create leads automatically — with duplicate checks.
Human decisions
Nothing to re-type. The team sees new leads with context already attached.
Reporting
Lead volume by source and channel.
Applied AI
AI is useful when it has a clear job.
Every Vaylo AI assistant has a defined task, defined inputs, and a defined place where a person reviews or controls the outcome.
Lead qualification assistant
Scores new leads against criteria you define and can read.
Uses: Form answers, source, service area, and stated timeline.
Human control: Borderline scores are flagged for human review; overrides are logged.
Follow-up drafting & approval
Drafts personalized email and SMS follow-up in your voice.
Uses: The contact's record, consent status, and conversation history.
Human control: Drafts wait in an approval queue — nothing sends on its own unless you configure it to.
Conversation & call summaries
Summarizes calls, threads, and long histories into next steps.
Uses: Recorded activity on the customer record.
Human control: Summaries cite the events they used; people verify before acting.
Next-best-action recommendations
Suggests the most useful next step on an opportunity.
Uses: Stage, activity recency, and your playbook rules.
Human control: Recommendations are suggestions in the owner's queue, never silent actions.
Dormant lead reactivation
Finds cold leads worth another look and drafts the re-opener.
Uses: Last activity, past interest, and consent status.
Human control: A person approves the list and the message before anything goes out.
Pipeline exception monitoring
Watches for stalled deals, missed follow-ups, and broken handoffs.
Uses: Stage age, task status, and activity gaps.
Human control: Exceptions surface to owners and managers as alerts, not automatic changes.
Final automation designs depend on your data, policies, and risk requirements — defined together during discovery.
Industries
Built around the workflows of your industry
Select an industry to see how the example workflow and dashboards change.
One view from inquiry to clear-to-close.
Loan teams juggle borrowers, referral partners, document milestones, and status updates across too many tools. A Vaylo system keeps the borrower record, partner activity, and milestone communication in one place.
Example workflow
- Inquiry. Web, referral, and call-in leads land with source and partner attribution.
- Application. Application status, assigned loan officer, and next required action are always visible.
- Document milestones. Milestone checklists drive reminders and borrower status updates.
- Partner referrals. Referral partners see appropriate status without another phone call.
- Status communication. Approved templates keep borrowers and partners informed at each stage.
Example dashboard
- Pipeline by milestone
- Partner-sourced volume
- Time to first contact
- Stalled files
Bring your own providers
Your providers. Your accounts. One clear operating layer.
Connect the AI, phone, messaging, email, calendar, payment, and data services you already trust. You keep the provider relationship and pay the provider directly; Vaylo coordinates the workflow.
Paste a secure API key
For providers such as Claude, Twilio, Telnyx, Resend, or ElevenLabs. Keys are encrypted server-side, validated with a low-risk test, and never shown again after saving.
Connect with OAuth
For providers such as Google Workspace, Microsoft 365, RingCentral, Calendly, Stripe, HighLevel, HubSpot, or Salesforce. You sign in at the provider and approve exact scopes.
Request a custom adapter
For an approved provider that isn't yet certified. We scope the connector against Vaylo's adapter contract rather than faking support.
Some providers require a specific plan, sender registration, app review, admin consent, or vendor approval — each catalog entry states its real availability. Browse the provider catalog or see connection security.
Process
How Vaylo works
- 1
Discover
Map goals, roles, workflows, data, constraints, and success measures.
- 2
Design
Define the system model, user experience, automations, integrations, and implementation plan.
- 3
Build
Configure an industry-ready foundation, develop custom functionality, or combine both.
- 4
Launch
Migrate approved data, test, train users, and roll out deliberately.
- 5
Evolve
Measure adoption, refine workflows, and add capabilities as needs change.
We don't publish fixed timelines — scope, migration, integrations, and approvals drive the schedule, and we lay those variables out during discovery. See the full process
Work
How a Vaylo engagement takes shape
Three demonstration scenarios showing how we approach a system design. As verified client results become available, they will replace these examples.
A lender centralizes incoming leads and referral-partner activity
Mortgage & Lending
Leads arrive by phone, web form, and partner referral into separate inboxes. Loan officers keep personal spreadsheets; referral partners call for status; management reports are assembled by hand at month end.
Read the scenarioA home-service company automates estimate follow-up and missed-call recovery
Home Services
Missed calls during job hours go unreturned. Estimates are delivered and then forgotten unless the customer calls back. Reviews are requested only when someone remembers.
Read the scenarioA professional-services firm creates one client view across sales and delivery
Professional Services
Partners track relationships in email and memory; delivery teams work in a project tool the sales side never opens. Renewals surprise everyone, and cross-sell depends on hallway conversations.
